Your Mail Takes Days. It Should Take Hours.
Mail Scanning Services That Deliver.
For organizations with remote or hybrid teams, the delay is worse. Mail arrives at an office where no one is checking it daily. Critical documents sit for a week or more before anyone scans, uploads, and emails them to the right person.
ILM Corp’s enterprise mail scanning services eliminate this delay entirely. Every piece of mail is received, scanned at 300 DPI, processed with OCR for full-text search, and delivered to the right person — all within 2 business days of arrival, with same-day processing available for urgent items. SOC 2 Type II certified. HIPAA compliant. Complete audit trail from envelope to inbox.
Why In-House Mail Scanning Fails at Scale
Speed Erosion
What started as same-day scanning becomes 2–3 days as staff get pulled to other priorities. During vacations, sick days, and turnover gaps, mail scanning stops entirely.
Quality Inconsistency
Consumer-grade scanners produce 150 DPI images that lose fine print and handwriting. Without OCR processing, scanned documents become unsearchable PDFs that staff can’t find when they need them six months later.
Security Gaps
In-house scanning typically means no encryption in transit, no audit trail showing who accessed what, and no compliance framework covering the scanning operation. If your or

Common Questions About Mail Scanning Services
How quickly will my team receive scanned documents?
What types of documents can you scan?
Our enterprise-grade equipment handles standard business mail (letters, invoices, contracts, legal notices), financial documents (checks, remittance slips, statements, tax forms), multi-page documents up to 100+ pages, and large-format items up to 36” wide including blueprints and architectural drawings. We also scan faxes, certified mail, overnight packages, and mixed media like envelopes with handwritten notes or attached business cards. Every item is scanned at 300 DPI minimum with higher resolution available for fine-detail documents.
Are scanned documents searchable?
Yes. Every scanned document is processed through advanced OCR technology that converts the image into a fully searchable, text-selectable digital file. This means your team can search across your entire mail archive by keyword, date, sender, invoice number, or any text that appears in the original document. AI-assisted data extraction also captures structured fields from invoices, checks, and forms for integration with your business systems.
How do I receive my scanned documents?
We support multiple delivery methods: a secure web portal with role-based permissions and full-text search, encrypted email with PDF attachments routed directly to assigned recipients, API integration with your document management system, or automated SFTP batch delivery for high-volume organizations. File formats include searchable PDF, TIFF, JPEG, and PNG. Multi-page documents can be delivered as a single combined file or individual pages based on your preference.
What happens to the physical mail after scanning?
Physical originals are stored in our climate-controlled, SOC 2 certified facility for your specified retention period, typically 30 to 90 days. Storage conditions include biometric access controls and 24/7 surveillance. After your retention window closes, documents are securely shredded according to NIST 800-88 guidelines, and you receive a certificate of destruction. Original documents can also be forwarded to you on request before the retention period ends.
Can you integrate with our document management system?
Yes. We support direct integration with SharePoint, NetSuite, Box, Dropbox Business, and most other major DMS platforms via API or SFTP. Custom routing rules can deliver scanned documents to specific folders, departments, or recipients based on document type, sender, or keywords detected by OCR. Our implementation team configures the integration during onboarding — most clients are fully connected within the first two weeks.
What if we need to keep our current business address?
No problem. We coordinate a USPS mail forwarding arrangement so mail sent to your current address is automatically routed to our facility. Your customers and vendors continue using your existing address with no disruption. If you prefer, our CMRA-certified business address is also available — it’s accepted by government agencies, banks, and financial institutions, unlike PO boxes or virtual office addresses.
How is pricing structured?
Mail scanning pricing has three components: a one-time implementation fee for setup, USPS coordination, and user training; a monthly project management fee covering your dedicated account manager and quality oversight; and per-piece variable processing fees based on actual scanning volume. There are no long-term contracts and no hidden fees. Volume scales automatically — you pay for what you use. Contact us for a custom quote based on your monthly mail volume and service requirements.
